Terms of Service

Last updated: 12 October 2026

These terms apply to every service WebsiteAdmin provides. Please read them before you sign up. If anything is unclear, ask: hello@websiteadmin.co.uk.

1. Who we are and who these terms are for

“We”, “us” and “our” means Riverforge Ltd, trading as WebsiteAdmin, a company registered in England and Wales (company number 16827982), registered office (postal address only) 3rd Floor, 86-90 Paul Street, London EC2A 4NE. “You” means the business buying our services.

Our services are for businesses only. By ordering, you confirm you are acting for the purposes of your business, trade or profession and not as a consumer, and that you have authority to agree to these terms for your business.

These terms, together with the plan and prices shown on our Plans & Pricing page when you sign up, our Service Level Agreement and any written quote we give you, make up our agreement. If a written quote says something different from these terms, the quote applies to that piece of work.

2. Our services

  • Care plans (Essentials, Growth and Premium): ongoing WordPress maintenance as described on our Plans & Pricing page.
  • Add-ons: Zero Spam Gateway, Local SEO Vitals, Emergency Out-of-Hours cover and managed hosting.
  • One-off work: fixes, security audits, speed optimisation and other jobs, charged at £75 per hour unless we agree a fixed price in writing.
  • Emergency hack clean-up: a standard malware clean-up for £149. If a site turns out to need much more work, we’ll tell you and agree the cost before carrying on.

We’ll carry out our services with reasonable skill and care and in line with good industry practice. All work is done personally by Peter Claridge. We won’t pass your work to anyone else without your agreement.

3. Getting started

  • You give us administrator access to your WordPress site, and to your hosting, domain or DNS where the work needs it. We prefer to use our own named administrator account so you don’t have to share your password.
  • We take a full backup before we start.
  • If we find existing problems when we start, such as malware, unsupported software or a broken backup system, we’ll tell you. Fixing problems that existed before we started may be quoted separately.

4. Fees and payment

  • All prices are in pounds sterling. We are not VAT registered, so no VAT is added. If we become VAT registered, we’ll give you at least 30 days’ notice before adding VAT.
  • Care plans and add-ons are paid monthly in advance by card through Stripe. Your first payment is taken when you sign up and then on the same date each month.
  • For one-off work we’ll give you an estimate or fixed price first. Hourly work is charged for the time actually spent and paid by card when it’s finished. Fixed-price work may be paid in advance.
  • If a payment fails, we’ll let you know. If it’s still unpaid 14 days after we tell you, we may pause the service until it’s paid. We may also charge interest on overdue amounts under the Late Payment of Commercial Debts (Interest) Act 1998.
  • We may change our prices by giving you at least 30 days’ notice by email. If you don’t want to continue at the new price, you can cancel before it takes effect.

5. Content edits

Care plans include a monthly allowance of time for content updates: 15 minutes on Essentials, 30 minutes on Growth and 60 minutes on Premium. This covers changes such as updating text, images, menus, prices, opening hours and small layout tweaks.

  • Unused time rolls over to the next month only, then expires.
  • If a request will take longer than your remaining allowance, we’ll tell you before going over. Extra time is charged at £75 per hour.
  • Larger jobs, such as new pages, redesigns or new features, are quoted separately.

6. Support hours and response times

  • Send support requests by email to support@websiteadmin.co.uk.
  • Our support hours are 9:00 to 17:30 UK time, Monday to Friday, excluding bank holidays in England.
  • We acknowledge critical issues (your site is down, checkout is failing or there’s a security breach) within 4 hours, and standard requests by the next business day. These are response times, not fix times; we keep working on critical issues until they’re resolved or contained.
  • Out-of-hours monitoring and response for critical issues is included in Premium and available on other plans with the Emergency Out-of-Hours add-on.

Full details are in our Service Level Agreement.

7. Updates, backups and monitoring

  • We update WordPress, plugins and themes as part of your care plan. We take a backup before updating and check your key pages afterwards. If an update causes a problem, we’ll roll it back or fix it.
  • We take off-site backups as often as your plan says (daily, or hourly on Premium). How long backups are kept depends on your plan and host; ask us and we’ll tell you.
  • Backups greatly reduce risk but can’t guarantee that nothing will ever be lost. Please keep your own copies of important content, such as orders and form submissions, that you can’t recreate.
  • We monitor your site’s uptime around the clock and investigate alerts during support hours, or straight away on Premium and the Emergency Out-of-Hours add-on.

8. Managed hosting add-on

  • If you take our hosting add-on, your website is hosted on our SiteGround account.
  • We aim for 99.9% monthly uptime, not counting planned maintenance, but we can’t guarantee the hosting will never be interrupted, and we don’t offer service credits.
  • You must not use the hosting for anything illegal, for sending spam, or in a way that puts the server or other sites at risk. We can suspend a site that does, and will tell you why.
  • If you leave, your site stays live until the end of the month you’ve paid for. We’ll give you a full copy of your website’s files and database and reasonable help moving it to a new host. We delete our hosted copy 30 days after your plan ends.
  • Domain names should be registered in your name. If we register one for you, it belongs to you and we’ll transfer it to you on request.

9. Premium hack clean-up guarantee

If your website is hacked while it’s on our Premium plan and we’re managing its updates, we’ll clean it up and restore it at no extra charge.

The guarantee doesn’t cover a hack caused by:

  • someone else you’ve given administrator, hosting or FTP access to;
  • software installed or changed without us;
  • a compromised password or email account on your side;
  • hosting or servers that we don’t manage.

In those cases we’ll still help, at our usual rates.

10. Your responsibilities

  • Give us accurate information and the access we need, when we need it.
  • Tell us if anyone else makes changes to your website, hosting or domain.
  • Pay for and keep up to date any licences for premium plugins or themes your site uses.
  • Make sure the content you ask us to publish is lawful and that you have the right to use it.
  • Keep your own passwords and email accounts secure.
  • Your website’s legal compliance, such as its own privacy policy and cookie consent, remains your responsibility unless we’ve agreed in writing to handle it.

11. Third-party software and services

Your website depends on software and services from other companies, including WordPress, plugins, themes and hosting. We’re not responsible for faults in them, or for changes, price rises or discontinuation by their makers. If something you rely on is discontinued or becomes unsafe, we’ll recommend alternatives.

12. Data protection

Each of us will comply with UK data protection law, including the UK GDPR and the Data Protection Act 2018. Our privacy policy explains how we handle personal information about you as our client.

When we work on your website we may process personal information stored on it on your behalf. For that information you are the controller and we are your processor, and this section is our data processing agreement under Article 28 of the UK GDPR.

  • What we process: whatever personal information your website holds, typically names, contact details, order and account details and form submissions, relating to your customers, website users and staff.
  • Why and for how long: only to maintain, update, back up, secure, support and (if you take the add-on) host your website, for as long as we provide services to you.
  • Your instructions: we only process this information on your documented instructions, which are these terms and the requests you send us, unless the law requires otherwise.
  • Confidentiality and security: only Peter Claridge has access, under a duty of confidentiality, and we take appropriate technical and organisational measures to protect it.
  • Sub-processors: you agree to us using SiteGround to host websites on our hosting add-on. We’ll tell you before adding or changing a sub-processor, and you can object.
  • Transfers: we won’t transfer this information outside the UK unless appropriate safeguards are in place.
  • Help with your obligations: we’ll help you, as far as is reasonable, to respond to requests from individuals exercising their rights and with security, breach notification and data protection impact assessments.
  • Breaches: we’ll tell you without undue delay if we become aware of a personal data breach affecting your information.
  • At the end: when our services end we’ll return or delete your information as you choose, except backups, which are deleted on their normal schedule.
  • Records and audits: we’ll give you the information you reasonably need to show compliance with this section.

13. Confidentiality

We’ll keep confidential any non-public information about your business that we learn while working for you, and only use it to provide our services. This doesn’t apply to information that’s already public, or that we’re required by law to disclose.

14. Ownership

Your website, content, data and domain remain yours. Work we create specifically for you, such as custom code or content, becomes yours once it’s paid for. We keep ownership of our general know-how, tools and methods. Third-party software stays under its own licence.

15. Our liability

  • Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that can’t legally be limited.
  • We’re not liable for loss of profits, revenue, business, goodwill or anticipated savings, or for any indirect or consequential loss.
  • We’re not liable for problems caused by third-party software or services, hosting we don’t manage, changes made by anyone other than us, or following your instructions.
  • Our total liability to you for all claims in any 12-month period is limited to the total fees you paid us in the 12 months before the event that gave rise to the claim.

16. Cancelling and ending the service

If you want to cancel

You can cancel a care plan or add-on at any time by emailing us. It ends at the end of the month you’ve already paid for and you won’t be charged again. We don’t refund part months, except under our money-back guarantee.

30-day money-back guarantee

If you’re a new care plan client and cancel within 30 days of your first payment, we’ll refund your first month’s plan fee, including any add-ons paid with it. The guarantee doesn’t cover one-off work, security audits or hack clean-ups.

If we need to end the service

We can end our services by giving you 30 days’ notice by email. We can end them immediately if a payment is still unpaid 14 days after we’ve told you about it, if you seriously breach these terms, or if you behave abusively towards us.

When the service ends

We’ll remove our access to your website and accounts (or you can remove it), deal with your data as set out in section 12, and, if you’re on our hosting add-on, help you move as set out in section 8.

17. Events outside our control

We’re not responsible for delays or failures caused by events outside our reasonable control, such as major hosting or internet outages, cyber attacks on third-party providers, power cuts, illness or extreme weather. We’ll tell you as soon as we can and do what we reasonably can to limit the impact.

18. Changes to these terms

We may update these terms from time to time. We’ll give existing clients at least 30 days’ notice of any change by email, and the current version will always be on this page.

19. General

  • These terms are the whole agreement between us about our services and replace any earlier discussions.
  • If any part of these terms is found to be unenforceable, the rest still applies.
  • Nobody else has rights under these terms under the Contracts (Rights of Third Parties) Act 1999.
  • You can’t transfer this agreement to someone else without our agreement.
  • Notices can be sent by email to the address each of us normally uses.

20. Law and courts

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute.
