WordPress forms and email

Contact form says “sent”, but nothing arrives? I’ll fix it.

Enquiries that never reach you, order emails your customers don’t get, password resets that go nowhere. A form can look fine to a visitor while every message quietly disappears. I find out where they’re going missing and fix it.

A fixed £119 covers finding the problem and up to 90 minutes of fixing it.

  • A backup before I touch anything
  • You talk to the person fixing it
  • Confidential, NDA on request
  • Updates by WhatsApp, phone or email

Is this what you’re seeing?

If your forms or emails are doing any of these, you’re in the right place. Seeing something different? Tell me what’s happening.

“Sent”, but nothing arrives

The form says thank you, but the enquiry never reaches your inbox.

Emails land in spam

Messages from your site go to junk in Gmail or Outlook, for you or for your customers.

Password resets don’t arrive

You, your staff or your customers can’t reset a password because the email never comes.

Order emails go missing

Customers don’t get order confirmations, or you don’t get told about new orders.

Stopped after a move

Emails stopped after you changed hosting, or moved your email to Google Workspace or Microsoft 365.

Broken after an update

A form stopped working after a plugin update, or after adding reCAPTCHA or another spam check.

Going to the wrong person

Enquiries go to an old address, a former employee or nobody at all.

Flooded with spam

Real enquiries are buried under junk submissions, or your spam check blocks genuine customers.

Why WordPress emails go missing

Out of the box, WordPress hands its emails to the web server it runs on. That server isn’t your email provider, so Gmail, Outlook and other mail services often treat its messages as suspicious. Some are put in spam, and some are thrown away without anyone being told.

The fix is usually to send your site’s emails through your real email account, using SMTP, and to make sure your domain has the right SPF, DKIM and DMARC records. Those records tell other mail services that your site is allowed to send email for your business.

Sometimes it isn’t email at all. The form may be sending to an old address, its notification may be switched off, or a plugin update may have broken it. I check the form and the email delivery separately, so I fix the part that’s actually wrong.

Included in every forms and email fix

  • Finding whether the form or the email delivery is at fault
  • Sending your site’s emails through your email provider, such as Google Workspace or Microsoft 365
  • Checking your SPF, DKIM and DMARC records, and telling you exactly what to add if any are missing
  • Testing every form on your site, not just the one that failed
  • A full backup before I change anything
  • A plain-English note: what was wrong, what I did, and what to check in future

Changing your domain’s records needs access to wherever your domain is managed. If you don’t know where that is, I’ll help you find out.

Form plugins I work with

Whichever plugin your forms were built with, the checks are much the same: where the form sends, whether it saves a copy, and how the email leaves your site.

Forms can do far more than send messages, too. On one coffee importer’s shop, a Forminator form’s calculation fields set every product price and the delivery charge, so the “shop” was really a form. I’m used to finding out what a form is actually doing before I change it.

How it works

1

Order and tell me what’s missing

Which form or email, where it should go, and roughly when it stopped arriving.

2

Give me access

You add me as a user in WordPress, so you never need to send me your password. If your domain’s records need changing, I’ll show you how to give me access there too.

3

I find and fix the problem

I take a full backup, then check the form and the email delivery separately, fix what’s wrong and send test messages.

4

You check your inbox

You check that my test messages arrived, and I send you a plain-English note of what I did.

Forms and email questions

Why does my form say “sent” when nothing arrives?

The form only knows that it handed the message over for sending. It can’t tell whether Gmail or Outlook accepted it. Most often, the email is rejected or put in spam because it was sent from your web server rather than through your email provider.

Do I need to change my email provider?

No. I set your site up to send through the email account you already have, such as Google Workspace or Microsoft 365.

Can you get back the enquiries I’ve already missed?

Sometimes. Some form plugins keep a copy of every submission in WordPress, and some don’t unless that’s switched on. I’ll check yours and tell you what’s there.

Will my emails stop going to spam?

No one can promise every email reaches the inbox, because each mail service makes its own decisions. What I can do is fix the usual causes: emails sent from the wrong server, and missing SPF, DKIM or DMARC records.

Do you need access to my domain?

Only if your domain’s email records need adding or changing. That’s done wherever your domain is managed, for example GoDaddy, 123 Reg or Cloudflare. If you’d rather make the change yourself, I’ll tell you exactly what to add.

Do you work on sites you didn’t build?

Yes. Whoever built your site, I’ll find out how its forms and emails are set up before changing anything.

Do I need to give you my password?

No. You add me as a user in WordPress with my own login, so your password stays yours. You can remove me as soon as the job’s done.

How much does it cost?

Most form and email problems are a fixed £119, which covers finding the problem and up to 90 minutes of fixing it. Connecting forms to a CRM or mailing list is £75 an hour, with an estimate first. I’m not VAT registered, so there’s no VAT to add.
